Data Source and Calculation
Annually, the Policy and Procedure team will track all active agency procedures for activity and status and present a status report to Executive Management. The report template will be developed and maintained to show date created, date last updated and the current status of each procedure. The report should be broken out by Division of responsibility and reflect data from July 1 to June 30th each year. The report will indicate ‘yes or no’ on whether a review for the fiscal year has been completed. Completion of the status review will be required for submission by the Organizational Unit Head or Responsible Party identified in procedure that has oversight of the procedure in question, to the Policy and Procedure team. At the beginning of each fiscal year, the Policy and Procedure Manager or their designee will send a list of procedures requiring review to the Executive Team. The Deputy Directors will be responsible for disseminating that information to their teams and ensuring reviews are completed. At the end of the fiscal year, the Policy and Procedure Manager or their designee, will submit a report to Executive Management each year by July 30th showcasing procedure status for the prior fiscal year. The report will show a calculation of the percentage of procedures reviewed by dividing the count of procedures reviewed by the count of active procedures in the agency. Upon receipt of the annual report, the Executive Team will collaborate and present the data to the Internal Auditor to determine if any corrective action is required.
